When to use links vs invites vs signatures
Invite as a member when someone will collaborate repeatedly and needs comments or editing inside the organisation. Use a share link when the need is temporary read-only review. Use signatures when you need execution, not just eyes.
Agencies often watermark client review links between internal approval and final delivery. Legal teams watermark counterparty soft reviews before redlines become formal. Founders watermark advisor reads of fundraising narratives that are still in flux.
If the recipient must leave structured feedback, decide whether they join as a member (best for threaded comments) or whether you will collect feedback offline and translate it into internal comments. Links alone do not replace a feedback process.
Never use a watermarked provisional link as your system of record for a signed deal. Execute via signature requests after approvals. Keep the distinction sharp for everyone on the deal.
